A matter-intake gap list for Philippines legal administrative support
Identify missing intake records and conflicts without offering legal advice or accepting representation.
A neat intake form can still omit the facts counsel needs to decide what happens next. Legal administrative support can make gaps visible while lawyers keep legal and engagement decisions.
Reconcile the submitted packet
List the prospective matter identifier, submitting party, contact route, documents received, stated dates, named counterparties, requested response, and source of each item. Use the client’s approved secure system.
Preserve the submitter’s wording and mark unknown values. Do not rewrite allegations as established facts.
Questions to settle
- Is each item tied to a source?
- Are unknowns honest?
- Is access appropriately limited?
Run prescribed conflict and deadline routes
Enter names and entities exactly under the client’s conflict procedure and send potential matches to the authorized reviewer. Flag stated deadlines without calculating or confirming legal deadlines.
The specialist must not promise representation, evaluate merits, interpret law, or disclose another matter. Use approved holding language only.
Questions to settle
- Who reviews potential conflicts?
- Is any stated date urgent?
- Was engagement avoided?
Return a focused gap list
Group missing identity, document, chronology, contact, authorization, and jurisdiction information as questions for the owner or approved requester. Record responses without erasing the earlier state.
Close intake only under the authorized disposition and retention rule. Administrative completeness does not mean the firm can or should accept the matter.
Questions to settle
- Can each gap be answered clearly?
- Is history preserved?
- Who authorized disposition?
