A filing-receipt register for legal administrative support

Keep submission evidence and status organized while lawyers retain deadline and legal-effect judgments.

Illustration of a remote content workflow

A confirmation screen, courier slip, or sent email can be useful evidence, but none should be turned into a legal conclusion by an administrative workflow.

Identify the intended submission

Record matter, document version, destination, prescribed channel, submitting owner, stated due date, approval, and transmission time. Preserve the exact approved file and its checksum or version reference where the client requires it.

Administrative staff should not calculate deadlines, select a forum, or decide whether a filing is sufficient. Those are reserved decisions.

Questions to settle

  • Was the approved version used?
  • Who authorized submission?
  • Which channel was prescribed?

Capture the response

Store the receipt, tracking number, portal status, timestamp, rejection message, and any returned copy in the secure matter system. Distinguish transmitted, received, accepted, rejected, and unknown.

A Philippines legal administrator may monitor and notify. They must not interpret acceptance as legal effectiveness or advise a client.

Questions to settle

  • What exact state is shown?
  • Is the evidence retained?
  • Does counsel need an urgent alert?

Hand back to the matter owner

Send a bounded notice with the submission reference, observed state, discrepancy, and next system check. Record the owner’s instruction and resulting action.

Close the administrative task only under the firm’s rule. A tidy register supports oversight but cannot prove compliance or preserve rights by itself.

Questions to settle

  • Did the owner acknowledge?
  • Are discrepancies open?
  • Is the conclusion appropriately limited?
