Outsourced Philippines guide

How to audit return reasons without guessing at root cause

Give Philippines ecommerce operations a repeatable way to reconcile return labels with source records.

Illustration of a remote content workflow

Return-reason reports look precise, but a single dropdown can hide sizing, fulfillment, damage, expectation, or customer-choice issues. A useful audit preserves what the records actually show.

Define the return population

Set the order window, return window, channels, statuses, products, and extraction cutoff. Keep exchanges, cancellations, failed deliveries, and refunds distinct unless the reporting owner explicitly combines them.

Retain the customer-selected reason, agent notes, item condition, warehouse result, refund state, and product version as separate fields.

Questions to settle

  • What transactions qualify?
  • Is the cutoff fixed?
  • Are unlike outcomes separated?

Review a balanced sample

Sample across reason, product, channel, value, and outcome rather than only the largest category. Compare the label with permitted messages, fulfillment events, images, and warehouse notes.

Use unknown and conflicting categories when evidence is weak. A Philippines analyst should not infer customer intent or manufacturing cause from one short note.

Questions to settle

  • Is the sample reproducible?
  • Are missing records counted?
  • Are inferences labeled?

Report mismatches before causes

Show counts, denominators, relabeling reasons, and reviewer disagreement. Route product, supplier, fraud, refund, and policy conclusions to the responsible owners.

A mismatch indicates a classification problem in the defined sample. It does not by itself prove why the return happened or who caused it.

Questions to settle

  • Are denominators shown?
  • Can changes be traced?
  • Who owns follow-up decisions?
