Refund queues get messy when screenshots, customer promises, order facts, and policy exceptions live in separate places. A compact evidence packet lets the authorized owner decide without asking support to reconstruct the case.
Start with the request, not a recommendation
Record the order, customer request, amount, payment method, relevant dates, and current fulfillment state. Quote the applicable policy version and keep a customer statement distinct from verified system data.
The support specialist can identify the decision required, but should not label the customer deserving or undeserving. That judgment adds heat without adding evidence.

- Is the requested remedy exact?
- Which facts are verified?
- What authority is needed?
Attach only decision-useful proof
Link the transaction record, delivery or cancellation evidence, prior approved messages, and any documented exception. Leave payment credentials and unrelated personal data in their controlled systems.
If sources disagree, show both values and their timestamps. Never choose whichever value makes the case easier to close.
